A system built around how you work.

A CRM, job management or stock control, designed around how your team works and built on our own platform to keep the cost down.

What we build

The systems we build, and what goes into them.

A project can be one of these, or several.

  • Software development

    • Your records, stages and words
    • A screen for each role
    • Built on Kinabase
  • Workflow automation

    • Tasks created as work moves on
    • Reminders and approvals sent for you
    • Documents drafted from your records
  • Integrations and APIs

    • Microsoft 365, SharePoint and Outlook
    • Xero, QuickBooks and Sage 50
    • An API and webhooks for the rest
  • Customer portals

    • For customers, partners or volunteers
    • Each group sees what’s relevant to it
    • Forms that go straight into your system
  • Moving your data

    • From spreadsheets and older systems
    • The records you need, and no more
    • Tested with you before switch-over
  • Forms on a phone, on site

    • Works even offline
    • Photos and signatures captured
    • Sent straight into the system

Getting ready for AI

AI is only as good as the information it works from.

So we build from the ground up, and add AI where it helps most.

  1. AIReads documents, suggests to-dos, pulls reports
  2. AutomationRoutine steps run themselves
  3. Joined-up informationOne version everyone trusts
  4. A well-built systemShaped around how you work
Each layer rests on the one beneath it.

AI is optional. You choose which features to use, and a person reviews each suggestion. AI on your terms

What you can count on

A system that fits, with no surprises.

  • How it starts

    A free call or a half-day workshop

For bigger systems, such as a CRM or ERP, a discovery phase comes first.

  • How it’s priced

    Each phase quoted up front

You see working software as it grows, and agree each next phase.

  • What it’s built on

    Kinabase, our own software

The everyday parts come ready, so your budget goes on what’s particular to you.

    About Kinabase
  • Once it’s live

    Support from the same team

The people who built it look after it, and help it change as you do.

Questions

How long does a first phase take?

It depends on the scope, and you get a timeline with the quote. A first phase is typically in place in two to four weeks.

Who does the building, you or us?

Whichever suits you, and we agree it before anything starts. We can build it for you while you shape it and make the key decisions, build it together with your team in the same room, or support your team to build it themselves with our tutorials, a hands-on session and help whenever it’s needed. It depends on how complex the system is and how hands-on you’d like to be.

Should we buy an off-the-shelf system instead?

Sometimes, yes. If a package fits how you work, it’s the simplest route. When none quite does, Kinabase gives you the best of both: it’s shaped around how you work, like bespoke software, and it’s a supported product with regular updates, like a package. A half-day workshop can tell you which, whoever provides it.

We already have an ERP or accounts system. Can you work with it?

Yes. We usually replace the spreadsheets and paper around it, and connect to it so nothing is typed twice. Kinabase links to Xero, QuickBooks and Sage 50, and to others through its API and webhooks, where they allow it.

Can you move us off an old database?

Yes. We’ve moved organisations off ageing and bespoke systems, and your old one can stay in use until the new one is live. We start by looking at what it holds and how it’s used.

Let’s map out a better way of working.

A short call is enough to see where you stand and agree a next step.
